What personal information the club collects about players and families, why it is held, who can see it, and how to request access or deletion.

From the Club Information Pack. This policy forms part of the pack that all members agree to when signing the Membership & Conduct Agreement.

1. Introduction — Gornal Development Club (Gornal DC) is committed to protecting the privacy and personal data of all players, parents, coaches, volunteers, and members. We recognise our responsibility to handle personal information securely and in line with UK data protection principles.

2. What Information We Collect — We may collect and process the following information:

  • Player names, dates of birth, and team details
  • Parent/guardian contact information (phone numbers, email addresses)
  • Emergency contact and medical information where required
  • Registration details for leagues and governing bodies
  • Communication records (including email and messaging platforms)

3. Why We Collect This Information — We collect and use personal data to:

  • Register players and manage teams
  • Communicate important club information, fixtures, and updates
  • Ensure the safety and wellbeing of all participants
  • Meet safeguarding requirements
  • Comply with league and governing body regulations

4. Who Has Access to Your Information — Access to personal data is limited to:

  • Gornal DC committee members
  • Team managers and coaches (where necessary)
  • Relevant governing bodies (e.g. league or FA systems)

We do not share personal data with third parties unless required for legitimate club purposes or legal obligations.

5. Data Storage and Security — We take reasonable steps to ensure that personal data is:

  • Stored securely
  • Accessed only by authorised individuals
  • Protected against loss, misuse, or unauthorised access

Data may be stored on secure digital platforms, email systems, and FA-approved systems where applicable.

6. Data Retention — We only retain personal data for as long as necessary to fulfil club activities and legal obligations. When a player or member leaves the club, their data will be securely deleted or archived within a reasonable timeframe.

7. Your Rights — Parents, guardians, and members have the right to:

  • Request access to the personal data we hold
  • Request correction of inaccurate information
  • Request deletion of data where appropriate

All requests should be made via the club's official contact channels.

8. Confidentiality & Communication — All club members are expected to handle personal information responsibly. Personal data and internal club communications must not be shared externally without permission. Any misuse of personal data or breach of confidentiality may result in disciplinary action in line with club policies.
